Why teams switch

The status quo is costing your team time and money

WhatsApp groups are unscalable

200-learner WhatsApp groups generate 600+ messages a day, none searchable, none threaded, none auditable. Mentors lose their evenings; admins lose visibility.

Threaded, searchable, audit-ready inbox

Course updates die in email

Announcement emails get 22% open rates. Critical 'class postponed' / 'syllabus updated' messages reach half your cohort. The other half shows up to a wrong class.

In-app + push + WhatsApp + email fan-out

Parent-teacher communication is broken

Parents send WhatsApp messages to faculty's personal numbers. Boundaries blur, response times slip, faculty burnout climbs.

Channelled in-platform — faculty offline = no buzz

How conversations flow

Threads, broadcasts, and integrations — one workspace

Inbox = 1:1 + group chats. Announcements = cohort-wide broadcasts. Both connect to Automation, Notification Hub, and analytics — so messaging actually drives outcomes.

01

Send a 1:1 or group message

Learner pings mentor; mentor opens a thread; group chats include parents / counsellor as needed. Attachments (PDF, image, voice note) supported.

02

Broadcast to a cohort

Announcements appear on every learner's home feed + push + (optionally) WhatsApp + email fan-out. Pinned for visibility; expire automatically.

03

Track delivery + engagement

Per-message read receipts; per-announcement read + click + dismiss analytics. See exactly who has and hasn't seen the critical update.

04

Automate follow-ups

Cohort members who didn't open an announcement after 24h get a WhatsApp nudge. Mentors get a digest of unanswered learner DMs every morning.

What's inside

Built for learning conversations, not slack-rooms

Map these to your workflow →

Threaded inbox

1:1 DMs + group chats with full thread history per conversation. Search across all messages by user, cohort, course, or date.

Cohort + course announcements

Broadcast to a cohort, course, or institute-wide. Pin to top of learner home feed; auto-expire after N days. Per-language for multilingual cohorts.

Multi-channel fan-out

One announcement → in-app banner + push + WhatsApp template + email. Configurable per audience. Same source, multiple deliveries.

Reactions + replies

Emoji reactions, threaded replies inside announcements (for Q&A), and mention notifications. Like Slack, but tied to learning.

Faculty-boundaries-friendly

Working-hours quiet mode for faculty — DMs queue but don't buzz outside business hours. Parents see status; faculty get their evenings back.

Auto-actions

Tag a message with an action ('add to-do', 'create CRM task', 'schedule mentor call'). Vacademy's Automation Engine executes the action automatically.

Wired into the platform

Inbox + Announcements is the conversational layer

Messages are first-class signals — they participate in workflows, get tracked, and drive intervention. Conversations don't sit on the side; they drive outcomes.

Auto-create a CRM task when a learner DM mentions 'cancel my course'.

Re-send announcements to non-readers as WhatsApp template after 24h.

Surface 'unanswered learner DMs > 24h' in faculty morning digest.

Trigger refund-team escalation when a payment-related thread crosses 3 messages without resolution.

Customer spotlight

K-12 chain · 84 schools · 22,000 parents

Our 800-teacher faculty had 22,000 parents in WhatsApp groups across their personal numbers. Burnout was real. Migrating to Vacademy's inbox cut after-hours messages 68%, but parent satisfaction actually went up because announcements now hit every channel — and parents finally got read-receipts on what they asked.

Frequently asked

Common questions from buyers

How is this different from a Slack or Teams integration?+

Slack / Teams aren't tied to your learners' courses, attendance, or report cards. Vacademy's inbox is — every conversation can pull in course context, learner records, and trigger Automation. It's also white-label-friendly so parents see your brand, not Slack's.

Can we still send messages on WhatsApp?+

Yes — inbox + announcements fan out via WhatsApp through your BSP (Wati). Learners reply in WhatsApp or in-app; conversations stay synced. Most institutes use a mix.

Are faculty's personal phone numbers exposed?+

No. Faculty chat via the platform identity; their personal number stays private. If WhatsApp fan-out is used, messages go through your institute's BSP number, not faculty's.

Can announcements be in multiple languages?+

Yes. Author once in your primary language; auto-translate via AI to each learner's preferred language. Or author per-language manually for high-stakes announcements (e.g. legal / refunds).

What about message retention + compliance?+

Configurable retention per institute (default 2 years). Audit log per message + per access. Export to SIEM. Compliant with GDPR / DPDP / SOC2 retention + portability requirements.

From WhatsApp chaos to one workspace

Send us one cohort — we'll migrate the comms.

Pick one cohort (faculty + learners + parents). In a 30-min session we'll set up the inbox, draft 3 announcements, configure quiet hours, and demo multi-channel fan-out.
