Fee management for education businesses
Flexible fees. Clearer collections.
Set payment schedules for each learner and keep installments, discounts, receipts and dues together.
- Learner-specific installments
- Offline payment records
- Role-based discount controls
How it works
Agree a schedule. Keep every payment connected.
Give your admissions and finance teams a shared fee workflow. Staff can set a schedule during enrollment, then manage the resulting bills from the learner record.
Choose the fee plan at enrollment
Select a flexible fee plan or split a one-time course price into installments during staff-led enrollment.
Set the dates and amounts
Choose the number of installments, a monthly or day-based interval, and the first due date. Review and adjust the schedule before confirming.
Record the payment against the learner
Record an offline payment with its mode and reference. Staff can also record a payment directly from an installment in the learner side view.
Follow the remaining dues
Use the learner fee view, collection dashboard, reminders and invoices to work from the same installment bills.
Built for day-to-day finance
Handle the exceptions without losing the record.
One plan, different learner schedules
Avoid creating a separate fee plan for every payment arrangement. Set installment count and spacing when staff enroll a learner.
Payment methods your team recognises
Define the offline payment modes your institute uses. Record the mode, option and reference so finance can see how money was received.
Discounts with clear permissions
Control which staff roles can apply discounts. Choose how a plan discount is distributed across installments while retaining amounts already carried by paid bills.
Invoices with payment context
Payment screens, invoices and the collection dashboard can show the recorded offline payment method, helping staff answer payment queries.
Schedules that can be reviewed
Preview due dates and amounts before confirming enrollment. Staff can edit installment rows and rebalance amounts within the fee workflow.
Dues linked to actual bills
Track the installments a learner owes alongside collections. Your finance team can follow the outstanding balance without maintaining another spreadsheet.
Connected to your operations
Enrollment and finance, working from the same record.
Fee management sits alongside Vacademy admissions, learner management and education ERP. The schedule established at enrollment becomes the basis for the learner’s bills.
- Installment bills feed dues and reminder workflows.
- Recorded payment details remain available for invoice queries.
- Role permissions keep discount decisions with authorised staff.
- Learner records bring fee context into day-to-day support.
Questions before you get started
Can each learner have a different installment schedule?
Yes. During staff-led enrollment, choose the installment count, interval and first due date for a flexible fee plan or a one-time course price. You can review the generated schedule before confirming.
Can learners choose flexible installments at checkout?
The new flexible schedule workflow is currently for staff-led enrollment. Learner self-enrollment on flexible fee plans is not supported yet; use an admin to set up these schedules.
Can we record payments received outside an online gateway?
Yes. Your institute can define offline payment modes and staff can record the selected mode, option and reference. These details are available on payment screens, invoices and the collection dashboard.
Who can apply discounts?
Your institute controls access through the Apply discounts role permission. Authorised staff can apply a discount and choose how it is spread across installments.
Do installment schedules connect to reminders and invoices?
Yes. The generated installment bills are used by the fee view, dues, reminder and invoice workflows. Configure the relevant communication and invoice settings for your institute.
Is this only for schools?
No. Coaching institutes, online academies and training businesses can use the same learner fee workflows. A demo can help map your enrollment and collection process to the right setup.
