How to Digitize Your Textbooks: A Step-by-Step Guide for Publishers

Seven steps, in the order that saves you money, with real price ranges. Scanning is not the hard part.

Key takeaways

  • Check rights before you scan anything. A contract problem can stop a finished title from going out.
  • A PDF on a phone is not a product. Practice questions and reports are what make it worth paying for.
  • Add video only where it helps, and start with two or three books, not the whole catalogue.

Picture a publisher in Delhi with 400 titles. The newer ones exist as print-ready PDFs. The older ones exist only as printed copies in a store room. Someone suggests scanning everything, and a quote arrives for the whole lot.

Do not sign it yet. Scanning is the easy part, and it may be the wrong place to begin.

Step 1: Check your rights, title by title

Under section 18 of the Copyright Act, an assignment does not apply to a medium “which did not exist or was not in commercial use” at the time, unless it says so. So a contract from 2009 may not cover AI video. Ask your lawyer. Also list any figures you licensed from other publishers, because they may need separate permission.

Step 2: Find your best source file

Print-ready PDFs give cleaner results than a scan of a printed page. Check your typesetter's records before you scan any book. For the rest, a clean, flat scan is worth the small extra effort.

Step 3: Convert, and check what the software is unsure about

On Vacademy, you upload the book to a Knowledge Base. Digital pages are read directly, and scanned pages go through math-aware OCR. Figures and tables are kept as real images, and unreliable pages are flagged for your editor. You see the page count and the credit estimate before anything is charged.

Pay special attention to equations, tables and pages in Indian scripts. Check those pages by eye.

Step 4: Build the structure

The software builds a chapter and topic map from the book. The AI Course Builder can then follow the book's own order, stay within its material, and cover every section. Your authors' words stay as they are, and your editor changes anything before it goes out. We show this on a UPSC book in this publisher story.

Step 5: Add practice before you add video

This is the step most publishers skip, and it has the best evidence. One meta-analysis found that “practice tests are more beneficial for learning than restudying and all other comparison conditions.” A PDF on a phone does not add this. In fact, reading on paper has a small comprehension edge over screens, mainly for informational text.

You can generate questions from a chapter and have them cite the page, or pull your existing question papers in word for word, with their sections and marking. An editor should still approve each one.

Step 6: Add video where it earns its place

A review of 105 randomized trials found that adding video to existing teaching gave strong benefits (g = 0.80), while swapping video in gave small ones (g = 0.28). Most studies were in health sciences, the authors flag possible bias, and a later re-analysis says a universal benefit is not yet proven.

So add to the book, and do not replace it. Also, animation has only a modest edge over static pictures overall, so animate what moves or changes: a heartbeat, a chemical reaction, a sequence of events. See how this looks with PDF to AI video.

Step 7: Sell it, and watch what readers do

Put it on your own domain and in your own app. Sell single titles, class packs, or one Access Pass that unlocks a whole subject. Downloads can be encrypted, with device limits. This makes copying harder, but no tool stops it completely.

Then read your reports. In rural India, 82.2% of 14 to 16-year-olds in ASER 2024 could use a smartphone, and 57% of users had used it for education in the past week, against 76% for social media. The phone is there. The attention is not guaranteed. Your reports show whether you are getting it.

That last row is the one to watch. Making the content is now cheap. Checking it is where your money and your reputation are. Vacademy does not produce EPUB files, so keep a conversion vendor if you need them for retailers or accessibility.

Frequently asked questions

How do I digitize a textbook?

Check your rights first. Gather the best source file, ideally the print-ready PDF. Convert it, and have an editor check any page the software flags. Build the book's structure, add practice questions, add video only where it helps, and then measure what readers do.

How much does it cost to digitize a book in India?

Published seller listings show EPUB conversion at about ₹40 to ₹200 a page. AI video on Vacademy costs about ₹400 per finished minute, as a guide. Your editors' review time is extra, and it is often the largest cost.

Can I convert a scanned book, or do I need the original files?

Scanned books can be converted using OCR, which reads the text from the image. Vacademy reads digital pages directly and uses math-aware OCR for scanned ones, keeping figures and tables, and flags unreliable pages for review. Original print PDFs usually give cleaner results.

Is a PDF on a phone enough?

Usually not. Research finds a small comprehension advantage for reading on paper, especially informational text. A PDF on a phone adds little. The value comes from what you add: practice, explanation, video and reports.

Does Vacademy create EPUB files?

No. Vacademy delivers PDFs, lessons, video and tests inside your own branded app and website. If you need EPUB for retailers or for accessibility, keep a conversion vendor for that part.

How long does it take to digitize a book?

It depends on the book and on how much your editors review. We do not quote a fixed time. Try one chapter first, time your editor, and use that number to plan the rest.
